Edit a PDF without uploading your file

Merge pages, make a scan searchable or add comments can often just be on your PC. First select the operation and then choose the program.

Editing a PDF can mean different things

Moving pages is something other than changing text into an existing paragraph. Making a scan searchable requires text recognition, while adding a comment is mainly an annotation function. If you keep those tasks apart, you avoid installing a large or paid program for a small operation.

Make a distinction between desktop and web service

PDF24 Creator processes files locally on Windows. The online PDF24 tools are a different route and can send files to a server for processing. The same brand on the screen does not automatically mean the same data processing. Check if you are using an installed app or a website where you upload a file.

For a document containing personal data or internal information, local processing is often a clear choice. This does not remove your own responsibility for storage: a file in a shared output folder or an unsecured backup may still be accessible to others.

Work on a copy and check the result

Copy the original PDF to a workbook.
Only perform the necessary operation.
Save under a new filename.
Open the output in another PDF reader.
Check pages, text, images and any forms.

Text recognition doesn't make a scan error free

With NAPS2 You can run scans and use text recognition. This results in a searchable text layer, but a low contrast, crooked page or small font can cause errors. Always check names, amounts and other important characters using the image. A search term found does not prove that all text has been correctly recognized.

A black surface is not automatic editor

If you want to delete sensitive information, putting a black rectangle over the text is not enough. The text can remain underneath and still be selectable. Use a real editing procedure and also check comments, metadata and hidden content. Keep an unchanged original only in a place suitable for that purpose.

For ordinary remarks: Okular It's useful. Keep annotations and permanently remove clearly apart. And if you still have the original Word or design file, then customization there is often more reliable than trying to reconstruct the PDF format afterwards.
